Invoice follow-ups

Chasing clients is the job you put off. We chase every overdue invoice 3 days after the due date.

Freelancers, SMBs, accounting firms: invoices drag on because chasing is unpleasant. An assistant sends an email reminder for every overdue invoice, 3, 10 and 20 days after the due date, tactfully and under your name. Messages are prepared by us, personally validated with you, and live within 5 business days. No outbound calls, no debt collection, no miracle promises.

What does Secondia's Follow-ups service actually do?

It reads the exported file of your invoices (Peppol, Odoo, Billit, Yuki, Exact or any CSV or Excel sheet), spots those past their due date and sends email reminders (3, 10 and 20 days after the due date), prepared by us and personally validated with you. It never calls your customers and does no debt collection: if a client disputes, the file comes back to you. From €149/month excl. VAT, live within 5 business days.

Why now

2026: invoices are structured, delays are still human

01/01/2026

E-invoicing is mandatory between Belgian VAT-registered businesses (Peppol network, the official channel for exchanging invoices). Your sales invoices are now well structured: reference, amount, due date. That is exactly what a clean reminder needs.

20 days

This is the average gap, in Europe, between the agreed payment term and the real one between businesses (Intrum, European Payment Report 2026). More than half of surveyed companies expect more unpaid invoices.

3 · 10 · 20 days

This is when our reminders go out after the payment due date: friendly first, then firmer. Most freelancers never find the time to send them on time. It is our commitment.

Source for the 20-day figure: Intrum — European Payment Report 2026. European average, not a forecast for your business.

What the assistant does

Prepared by us, personally validated, sent under your name

Email reminders, in three steps

Three reminders after the payment due date (3, 10 and 20 days after the due date): this is our default commitment, adjustable to your payment terms. First a friendly reminder, then a firm one, then a final notice before the file goes back to your accountant or to you. Every template message is prepared by us and personally validated with you before the first send.

Belgian tone, your letterhead

Formal register, invoice references. If your terms provide for it, we mention late-payment interest and the fixed indemnity (Belgian act of 2 August 2002 on late payment between businesses). Nothing aggressive, nothing anonymous: it is your company or your name writing.

Payment tracking

The assistant compares what is invoiced with what is paid, from the file you export from your invoicing software. No reminder goes out for an invoice already paid.

Monthly report in numbers

Invoices tracked, reminders sent, replies received, files you need to handle: a factual summary in your client portal. No promised recovery rate, only real figures.

The file comes back to you when needed

A client who disputes, asks to pay in instalments, or a delicate client: the assistant stops and hands the file back to you. You decide, it executes.

Live within 5 business days

You give us the exported file of your invoices and your rules (delays, exceptions, clients never to chase). We prepare the messages, you validate, and it is on its way.

What the assistant does not do — and will not

  • —No outbound phone calls: reminders go by email (and, if you wish, by letters you print). No robot calling your customers.
  • —No debt collection: we are neither bailiffs nor a collection agency (which recovers debts for you). After the final notice, the file goes back to you or your accountant.
  • —No blind reminders: without a reliable invoice file, nothing is sent. Better one clean series than a burst of wrong emails.
  • —No promised recovery rate (the share of invoices paid thanks to reminders): we show what was sent and what was paid, full stop.

Common questions

Peppol, invoicing software, compliance

What does Peppol change for my reminders?

Since 1 January 2026, invoices between Belgian VAT-registered businesses go through Peppol, an official network for exchanging electronic invoices. Each invoice carries a reference, an amount and a due date that a computer can read. So the assistant knows what to chase, when, and for how much, with no retyping and no amount errors.

I invoice with Odoo, Billit, Yuki or Exact: does it work?

You export your invoices from your software (CSV or Excel file, or a standard accounting export) and we read that file. It works everywhere, from day one. A direct connection with your software is possible case by case, after review; we do not promise it until we have tested it with you.

Who writes the reminders? Will customers complain?

Template messages are prepared by us, in your tone, then personally validated with you before the first send. Customers who need care are excluded or flagged to you. You can review each reminder before it goes out if you wish, or let the validated series run.

Does the assistant call my customers?

No, never. Reminders are written (email). No outbound calls, no reminders by phone. If a file deserves a phone call, you or your accountant make it — the file reaches you prepared.

How much does it cost, and how much will I recover?

The Follow-ups service is the Essentiel plan: €149/month excl. VAT and €490 setup excl. VAT, no long-term commitment. As for the amount recovered: we do not promise it. We show each month what was chased and what was paid; you judge.

Is it compliant with GDPR (data protection) and the EU AI law (AI Act)?

Reminders use invoicing data (name, email, reference, amount). No health data, no banking data of your customers. The emails state that they are prepared with the help of an AI and validated by your company. Details, sub-processors and retention periods are on our compliance page.

How many of your invoices are waiting for a reminder?

A two-minute diagnostic: we tell you whether the Follow-ups service is enough, or whether you would also benefit from having your calls answered. Written proposal within 3 business days.
